1. Acceptance of Terms
By downloading, installing, accessing, or using the Maple desktop application ("Application") or any associated services, websites, or APIs (collectively, the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you are using the Service on behalf of an organization, you represent that you have the authority to bind that organization to these Terms.
If you do not agree with any part of these Terms, you must not use the Service and should uninstall the Application from your device(s).
2. Eligibility
You must be at least 18 years old (or the age of majority in your jurisdiction) to use the Service. By agreeing to these Terms, you represent and warrant that you meet this age requirement and have the legal capacity to enter into a binding agreement.
The Service is not intended for use by children under the age of 13, and we do not knowingly collect data from individuals under 13. If we become aware that a user is under 13, we will take steps to delete their account information.
3. Account Registration
Certain features of the Service require you to create an account. When registering, you agree to:
- Provide accurate, current, and complete information during registration.
- Maintain and update your account information to keep it accurate.
- Maintain the security and confidentiality of your login credentials.
- Accept responsibility for all activities that occur under your account.
- Notify us immediately at hello@mapleco.in of any unauthorized use of your account.
We reserve the right to suspend or terminate accounts that contain inaccurate information or violate these Terms.
4. Description of Service
Maple is a local-first desktop application designed to function as a workspace memory engine. The Service provides the following capabilities:
- Screen Indexing: Continuous optical character recognition (OCR) of your active desktop screen to build a searchable text index of your visual workspace activity.
- Meeting Transcription: System-level audio capture and transcription of virtual meetings (Zoom, Google Meet, Slack) and local audio, without requiring external bot attendees.
- Local Vector Database: On-device storage of text embeddings and metadata in an encrypted SQLite database for fast semantic search and retrieval.
- AI Chat Interface: A keyboard-activated overlay (⌥ Space / Alt+Space) that allows you to query your indexed workspace context using large language models (LLMs).
- Integrations: Connections to third-party services (Slack, Notion, Google Drive) to index and reference content from those platforms locally.
- Proactive Routines: Scheduled digests, pre-meeting briefs, and end-of-day summaries generated from your indexed screen and meeting activity.
5. Local-First Architecture & Data Ownership
5.1 On-Device Data Residence
Maple is architected as a "local-first" application. This means:
- All screen captures, OCR text extractions, meeting transcripts, vector embeddings, and search indices are stored exclusively on your local device.
- Your local database is encrypted using AES-256 encryption with keys derived from your device credentials.
- No raw workspace content (screen captures, full transcripts, indexed files) is uploaded to Maple servers or any third-party cloud storage.
5.2 Your Ownership Rights
You retain full ownership of all content that Maple indexes on your device. Maple does not claim any ownership, license, or rights over your workspace data, screen captures, meeting transcripts, or any other content processed locally by the Application.
5.3 Data Deletion
You may delete your local index at any time through the Application settings. Uninstalling Maple will remove all locally stored indices, embeddings, and cached data. Maple does not retain copies of your workspace data after uninstallation.
6. Cloud Inference & Third-Party APIs
6.1 Query Context Transmission
When you interact with the AI chat feature, Maple sends a filtered subset of relevant context from your local index to a third-party large language model API (such as Google Gemini or Anthropic Claude) to generate responses. Specifically:
- Only the text chunks relevant to your specific query are transmitted, not your entire index.
- Context is stripped of unnecessary personally identifiable information (PII) where technically feasible.
- All transmissions occur over TLS 1.3 encrypted connections.
6.2 Third-Party API Policies
We use enterprise-grade API agreements with our LLM providers that include zero data retention clauses. This means:
- Your query context is not stored by the API provider after the response is generated.
- Your data is not used by the API provider for model training or improvement.
- API providers process data in accordance with their respective enterprise privacy terms.
While we select providers with strong privacy commitments, we cannot guarantee the internal practices of third-party services. We encourage you to review the privacy policies of our current API providers.
6.3 Optional Offline Mode
Maple is working toward supporting fully offline local language models. When available, this feature will allow all AI inference to occur on-device, eliminating any data transmission to external servers. Offline mode availability may depend on your device hardware capabilities.
7. Subscriptions & Payment
7.1 Subscription Plans
Maple offers multiple subscription tiers, including a free Starter plan and paid plans (Pro, Team). Plan details, features, and pricing are described on our Pricing page and may be updated from time to time.
7.2 Billing
- Paid subscriptions are billed in advance on a monthly or annual basis, depending on your selected billing cycle.
- All fees are quoted in US dollars unless otherwise specified.
- Payment is processed through our third-party payment processor (Stripe). By providing payment information, you authorize us to charge the applicable fees to your payment method.
- You are responsible for any applicable taxes, duties, or levies in your jurisdiction.
7.3 Renewals & Cancellations
- Subscriptions automatically renew at the end of each billing period unless you cancel before the renewal date.
- You may cancel your subscription at any time through your account settings. Cancellation takes effect at the end of the current billing period; no prorated refunds are issued for partial periods.
- Upon cancellation, you retain access to paid features until the end of your current billing period, after which your account reverts to the free Starter plan.
7.4 Refunds
We offer a 14-day money-back guarantee for new paid subscriptions. If you are not satisfied within the first 14 days, contact us at hello@mapleco.in for a full refund. Refunds are not available after the 14-day period or for renewal charges.
7.5 Price Changes
We reserve the right to adjust pricing. If we increase the price of your current plan, we will notify you at least 30 days before the change takes effect. Continued use after the price change constitutes acceptance of the new pricing.
8. Free Tier & Trial Periods
The Maple Starter plan is free and includes core features with usage limits as described on our Pricing page. The free tier is offered indefinitely but we reserve the right to modify its feature set with reasonable notice.
We may offer time-limited trial periods for paid features. At the end of a trial, you will be downgraded to the free tier unless you subscribe to a paid plan. We will not charge you without explicit authorization.
9. Software License
9.1 Grant of License
Subject to your compliance with these Terms, Maple AI grants you a limited, non-exclusive, non-transferable, revocable license to download, install, and use the Application on devices you own or control, solely for your personal or internal business purposes.
9.2 Restrictions
You may not:
- Copy, modify, distribute, sell, lease, or sublicense the Application or any part thereof.
- Reverse engineer, decompile, disassemble, or attempt to derive the source code of the Application, except where applicable law expressly permits such activity.
- Remove, alter, or obscure any proprietary notices, labels, or marks on the Application.
- Use the Application to develop a competing product or service.
- Circumvent any technological measures designed to control access to or protect the Application.
10. Acceptable Use Policy
You agree to use the Service only for lawful purposes and in accordance with these Terms. You agree not to:
- Use the Service to violate any applicable local, national, or international law or regulation.
- Use the Service to record, transcribe, or index conversations or activities of individuals without their knowledge or consent where required by applicable law.
- Use the Service to generate, store, or distribute content that is illegal, harmful, threatening, abusive, defamatory, or otherwise objectionable.
- Attempt to gain unauthorized access to any part of the Service, other users' accounts, or any systems or networks connected to the Service.
- Use automated means (bots, scrapers, etc.) to access the Service beyond the Application's intended functionality.
- Interfere with or disrupt the integrity or performance of the Service or its underlying infrastructure.
Recording Consent: Many jurisdictions require all-party or one-party consent for recording conversations. You are solely responsible for ensuring compliance with applicable recording consent laws when using Maple's meeting transcription features. Maple does not provide legal advice regarding recording consent requirements.
11. Intellectual Property
The Service, including the Application, its source code, design, user interface, documentation, trademarks, logos, and all related intellectual property, is owned by Maple AI and protected by copyright, trademark, and other intellectual property laws. These Terms do not grant you any rights to use Maple's trademarks, logos, or branding without our prior written consent.
12. User Content & Generated Output
12.1 Your Content
You retain all rights to the content you create, store, or index using the Service ("User Content"). You grant Maple a limited, non-exclusive license solely to process your User Content as necessary to provide the Service (e.g., to perform OCR, generate embeddings, and transmit query context to API providers).
12.2 AI-Generated Output
Content generated by the AI chat feature ("Generated Output") is produced based on your queries and indexed context. You may use Generated Output for any lawful purpose. However:
- Generated Output may not always be accurate, complete, or current. You should independently verify any critical information.
- Generated Output may reflect biases present in the underlying language models. Maple is not responsible for the accuracy or appropriateness of Generated Output.
- You are responsible for how you use Generated Output, including ensuring it complies with applicable laws and does not infringe third-party rights.
13. Privacy & Data Protection
Our collection, use, and protection of your personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you consent to the practices described in our Privacy Policy.
Key privacy commitments include:
- Local-first data architecture with on-device storage.
- No use of your workspace content for model training.
- Minimal data collection limited to account information and anonymized telemetry.
- Compliance with GDPR, CCPA, and other applicable privacy regulations.
14. Security Responsibilities
14.1 Our Responsibilities
- AES-256 encryption for the local database at rest.
- TLS 1.3 encryption for all data in transit.
- Secure API key management and rotation.
- Regular security audits and vulnerability assessments.
- Prompt disclosure of security incidents that may affect your data.
14.2 Your Responsibilities
Because Maple operates locally on your device, you are responsible for:
- Maintaining the physical security of your device(s) running Maple.
- Keeping your operating system and device firmware updated with security patches.
- Protecting your account credentials and not sharing them with unauthorized parties.
- Configuring appropriate access controls on your device to prevent unauthorized access to the Maple local database.
- Using full-disk encryption on your device for additional protection of locally stored indices.
15. Service Availability & Updates
15.1 Availability
We strive to maintain high availability of the Service, but we do not guarantee uninterrupted or error-free operation. Cloud-dependent features (AI chat inference) require an active internet connection.
15.2 Updates
We may release updates, patches, or new versions of the Application from time to time. Some updates may be required for continued use of the Service. By using the Service, you consent to receiving automatic updates unless you have explicitly disabled this feature in your settings.
15.3 Feature Changes
We reserve the right to modify, suspend, or discontinue any feature of the Service at any time. For material changes to paid features, we will provide reasonable notice (at least 30 days) and, where appropriate, offer alternatives or refunds.
16. Termination
16.1 Termination by You
You may terminate your account and stop using the Service at any time by uninstalling the Application and contacting us to delete your account information.
16.2 Termination by Us
We may suspend or terminate your access to the Service immediately, without prior notice, if:
- You violate these Terms or our Acceptable Use Policy.
- We are required to do so by law or a court order.
- We reasonably believe your use of the Service poses a security risk.
- Your account has been inactive for more than 12 consecutive months.
16.3 Effect of Termination
Upon termination:
- Your right to use the Service ceases immediately.
- Your locally stored data remains on your device under your control.
- We will delete your account information from our servers within 30 days, unless retention is required by law.
- Provisions that by their nature should survive termination (including Sections 11, 17, 18, 19, and 20) will continue in effect.
17. Disclaimers of Warranty
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE. To the fullest extent permitted by applicable law, Maple AI disclaims all warranties, including but not limited to:
- Implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
- Warranties that the Service will be uninterrupted, error-free, secure, or free of viruses or other harmful components.
- Warranties regarding the accuracy, reliability, or completeness of any AI-generated content, meeting transcriptions, or OCR text extractions.
- Warranties that the Service will meet your specific requirements or expectations.
You acknowledge that AI-generated responses may contain inaccuracies and should not be relied upon as the sole basis for important decisions, including medical, legal, financial, or safety-critical matters.
18. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL MAPLE AI, ITS DIRECTORS, EMPLOYEES, PARTNERS, AGENTS, SUPPLIERS, OR AFFILIATES BE LIABLE FOR:
- Any indirect, incidental, special, consequential, or punitive damages.
- Any loss of profits, revenue, data, goodwill, or other intangible losses.
- Damages arising from your use of or inability to use the Service.
- Damages arising from any unauthorized access to or alteration of your local data or transmissions.
- Any third-party conduct or content, including AI-generated output.
Our total aggregate liability for all claims arising out of or relating to these Terms or the Service shall not exceed the greater of (a) the amount you paid us in the twelve (12) months preceding the claim, or (b) fifty US dollars ($50).
Some jurisdictions do not allow the exclusion or limitation of certain damages. In such jurisdictions, our liability is limited to the fullest extent permitted by law.
19. Indemnification
You agree to indemnify, defend, and hold harmless Maple AI and its officers, directors, employees, agents, and affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or related to:
- Your use of the Service in violation of these Terms.
- Your violation of any applicable law, rule, or regulation, including recording consent laws.
- Your User Content or how you use Generated Output.
- Any dispute between you and a third party relating to the Service.
20. Dispute Resolution
20.1 Governing Law
These Terms are governed by and construed in accordance with the laws of India, without regard to its conflict of law principles.
20.2 Informal Resolution
Before filing any formal legal claim, you agree to contact us at hello@mapleco.in and attempt to resolve the dispute informally for at least 30 days.
20.3 Arbitration
If the dispute cannot be resolved informally, you agree that any dispute, claim, or controversy arising out of or relating to these Terms shall be resolved through binding arbitration conducted in accordance with the rules of the Indian Arbitration and Conciliation Act, 1996. The arbitration shall take place in New Delhi, India, and shall be conducted in English.
20.4 Class Action Waiver
You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action.
21. Changes to These Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will:
- Update the "Last updated" date at the top of this page.
- Provide notice through the Application or via email to your registered account.
- For material adverse changes, provide at least 30 days' notice before the changes take effect.
Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Terms. If you do not agree with the changes, you must stop using the Service and terminate your account.
